Privacy: how we look after your information

1. Who we are. Excel Academic Training Tuition Centre, Plot 712, Khwai Road, Ext 2, Gaborone, exceltuitiononline@gmail.com. We decide how your information is used. Contact: exceltuitiononline@gmail.com.
2. What we collect. From the enquiry forms: name, WhatsApp number, level, subject and situation. Where a form asks for them: email, current and target grade, and exam date. Optional: school and best time to reach you (you can leave the school blank). If you ask about moving to IGCSE: name, WhatsApp number, level and subject. If you ask us about your exam syllabus: name, WhatsApp number, level and subject. If you request a quote: your name, WhatsApp number, optional email, who the tuition is for, how many students, level, subjects and what you need. Optional: who told you about us (a first name, so we can thank them). If you tell us about a referral: your name, WhatsApp number and your friend's first name. If you register interest in online tutoring or homework help: name, WhatsApp number, level, subject and the format you prefer. If you apply to teach with us: your name, WhatsApp number, the subjects and levels you teach, your qualification, your experience if any, and when you are free. We also keep your consent tick, and a separate tick if you asked for study tips and updates. Each form also sends two hidden technical details: a short source code that shows which page the form was on, and timing fields (when the page opened and how many seconds the form took), which help us spot spam. When you enrol: the details you give us for the enrolment. When you take a test: your answers and marks. From the website: we do not use analytics or advertising trackers. The hosting service may keep standard technical logs.
3. Why we use it. To reply to you, book tests, run lessons, report progress to the student and parent, and to improve our service. If you tick the separate box, to send study tips and updates.
4. School teachers. With a parent or guardian's agreement, we may talk to a student's school teacher about the topics the student finds hard, so our tuition supports school. We do not contact a teacher without that agreement.
5. Receipts. We keep a record of each payment so we can give you a receipt, by WhatsApp or email, or when you ask.
6. Students under 18. If you are under 18, please ask a parent or guardian before you send us your details. Every form on this website has a tick box where you confirm that, if the student is under 18, a parent or guardian has agreed. We ask for a parent or guardian's agreement before enrolling a student under 18. We ask for written permission from a parent or guardian before we use a student's name, photo, video, mark or story on the website, Facebook or anywhere else. We will not use a child's photo in a way that shows where they live or go to school without that permission.
7. Messages. We only send WhatsApp, email or SMS messages to people who asked for them. Every marketing message gives a way to stop. Reply STOP any time.
8. Who we share with. We do not sell your information. We share it only with services that help us run the centre (for example our website host and form service, our email service and WhatsApp), and when the law requires it.
9. Where your information is stored. Enquiry forms on this website are processed by Netlify, our website host and form service. Netlify's servers are outside Botswana, in the USA. Each enquiry is then delivered to the centre's Gmail inbox (Google). So your details are held outside Botswana.
10. Keeping it safe. We collect only what we need. This website uses HTTPS, and enquiry messages reach us by email.
11. How long we keep it. We keep an enquiry only as long as we need it to reply to you and to run the enquiry. You can ask us to delete it: message us at exceltuitiononline@gmail.com.
12. Your rights. You can ask to see, correct or delete your information, or withdraw permission. Message us at exceltuitiononline@gmail.com.
13. Cookies and analytics. This website sets no cookies of its own and loads no third-party scripts, fonts or trackers.
14. Changes. We will post changes here with a new date.
